Allocating Guest Slots to a Team Member

You can allocate guest list slots to any team member assigned to an event. Slots are allocated per tag, giving you control over how many guests of each type the team member can invite.


Prerequisites

Before allocating guest slots, confirm the following:

  • The team member has been created in your account

  • The team member has been assigned to the event

  • The event has at least one tag defined (e.g., VIP, General Admission)

Important: You cannot allocate guest slots to a team member who is not assigned to the event. Assign them first from the team management section.


Allocating Slots

  1. Open the event from your web dashboard.

  2. Navigate to the Team tab.

  3. Find the team member in the list.

  4. Click Allocate to open the allocation popup.

  5. Select a tag from the dropdown.

  6. Enter the number of slots for that tag.

  7. Repeat for each additional tag you want to allocate.

  8. Click Save to confirm the allocation.

The allocation is saved immediately. The total slot count across all tags is displayed next to the team member's name.

Tip: You can allocate multiple tags in a single allocation. For example, assign 10 VIP slots and 5 General Admission slots at the same time.


Notification Email

When you save an allocation, the team member receives an Allocation Notification email. This email contains:

  • The event name and date

  • The allocated slot counts per tag, displayed as coloured tag cards

  • A link to the team member's Profile page

The team member does not need to log in to access their profile. The link contains a unique key that grants access directly.


Modifying an Allocation

You can update a team member's allocation at any time by opening the Allocate popup again. Changes to slot counts take effect immediately.

Important: If the team member has already sent forms that use more slots than the new allocation allows, those existing forms are not automatically removed. Reduce allocations carefully when forms are already in progress.


Cancelling an Allocation

To remove a team member's guest list allocation entirely, open the Allocate popup and click Cancel Allocation.

Caution: Cancelling an allocation deletes all forms (drafts and sent), removes any attendees created from submitted forms, and sends revocation emails to affected guests. This action cannot be undone.


Viewing an Allocation Profile

As an admin, you can view a team member's allocation profile directly from the event edit page. A View Allocation Profile button appears near the event title when an allocation exists. This opens the same Profile page the team member sees, showing remaining slots, draft forms, and sent forms.
