Submitting a Guest List

When a team member sends you a guest list form, you receive an email with a link to the Guest List page. You fill in the guest details and submit the list. Qflow then creates attendee records and sends each guest a QR code invitation email automatically.


Opening Your Guest List Form

  1. Open the guest list email you received.

  2. Click the link in the email to open the Guest List submission page.

No login is required. The link contains a unique key that gives you access to the form.


What You See

The Guest List page displays:

  • Event details - the event name and date

  • Message from the sender - any instructions the team member included

  • Tag slots - the number of guest slots available to you for each tag (e.g., 10 VIP, 5 General Admission)

  • Guest entry rows - one row per slot, grouped by tag


Filling In Guest Details

Each guest row requires a name. Email addresses and plus-ones are optional depending on the form configuration.

  1. Enter the guest's first name and last name.

  2. Enter the guest's email address (required for receiving the QR code invitation).

  3. Set the number of plus-ones for the guest, if applicable.

  4. Repeat for each guest row.

Important: A guest must have an email address to receive a QR code invitation. Guests without email addresses are still added to the event but won't receive an invitation email.


Per-Tag Slot Tracking

Each tag has a fixed number of slots. As you fill in guest rows, the remaining count updates. A guest row plus their plus-ones count toward the total for that tag. For example, one named guest with 2 plus-ones uses 3 slots.

You cannot exceed the allocated slots for any tag. The form validates slot totals before allowing submission.


Submitting the Form

  1. Review all guest entries.

  2. Click Submit Guest List.

On submission, Qflow:

  • Creates an attendee record for each named guest in the event

  • Assigns the appropriate tag to each attendee

  • Sends a QR code invitation email to each guest who has an email address

  • Records the submission on the team member's profile

Each guest's QR code serves as their entry barcode for the check-in app. Guests should present it at the door.


After Submission

Once you submit the form, the page changes to a confirmation view showing the full list of guests you submitted. If you revisit the link later, you see this same confirmation view — you cannot edit the list after submission.

If you need to make changes after submitting, contact the team member who sent you the form. They can resend the form to you, which revokes the existing submissions and lets you start fresh.


If Your Link Doesn't Work

If you see a Guest List Unavailable page, it means one of the following:

  • The team member's allocation has been cancelled

  • The form has been deleted or resent with a new link

  • The team member has been removed from the event

  • The profile key has been rolled (regenerated) by the team member or admin

Contact the team member who sent you the form to get an updated link.
