Setting Up Capacity Monitoring Alerts

Capacity Monitoring allows you to receive automatic email and/or WhatsApp updates at regular intervals, keeping you informed of attendee numbers throughout your event.

Capacity monitoring sends periodic alerts with your event's current headcount to specified recipients via email and/or WhatsApp.

Locate the Event

  1. Log in to your web dashboard.

  2. Open the relevant event.

  3. Click the blue More button on the far right.

  4. Select Capacity Monitoring from the pop-up.


Enable Capacity Monitoring

  1. In the capacity monitoring pop-up, turn on the toggle in the top right corner.


Set the Alert Interval

  1. Open the Interval dropdown (top right).

  2. Select how often you want to receive alerts: 10 min, 15 min, 30 min, or 60 min.


Add Notification Recipients

  1. Click Add Recipients.

  2. Enter the recipient's email address in the Email field.

  3. (Optional) Enter the recipient's mobile number in the Phone field for WhatsApp notifications. Select the correct country of origin before entering the number.

  4. In the Delivery field, choose the notification method:

    • Email Only

    • Email + WhatsApp

    • WhatsApp Only

  5. Click Save Settings to apply your changes.


Confirmation

Once saved, the system automatically sends email and/or WhatsApp alerts to all listed recipients at the selected interval.


WhatsApp Setup for Recipients

Email is required for all recipients. When you add a phone number and select WhatsApp delivery, new recipients receive an onboarding email with a QR code to activate WhatsApp notifications. Existing recipients can use the Resend button to receive setup instructions again.

Tips

  • Edit recipients - You can edit or remove recipients at any time from the Capacity Monitoring settings in your event.

  • Country codes - Ensure all phone numbers include the correct country code.

  • Missing alerts - If alerts are not received, check your spam folder and confirm that you have accepted WhatsApp's terms of use.

Note - Capacity monitoring alerts are only available with a Professional subscription.
