Setting Up Arrival Alerts for Guests

Arrival Alerts allow you to automatically notify selected recipients by email and/or SMS when a specific guest is checked in.

Step 1 - Locate the Guest

  1. Log in to your Web Dashboard.

  2. Open the relevant event.

  3. Use the search bar to find your guest.

  4. Click on the guest’s name in the search results to open their Guest Profile.


Step 2 - Enable Arrival Alerts

  1. Within the guest profile, click the Arrival Alerts icon (found above the Title / Prefix field).

  2. A pop-up window will appear - tick the Enable Arrival Alerts checkbox.


Step 3 - Add Notification Recipients

  1. A new pop-up will open:

    1. In the Email field, enter the email address(es) of all recipients who should receive arrival alerts. Separate multiple addresses with a comma.

    1. In the SMS field (below the email field), enter the mobile number(s) for text notifications. Separate multiple numbers with a comma.

  2. Click Save Notification to confirm your settings.


Step 4 - Confirmation

Once saved, the system will automatically send an instant email and/or SMS alert to all added recipients whenever that guest is checked in.

Tips

  • You can edit or remove recipients at any time by revisiting the Arrival Alerts icon in the guest’s profile.

  • Make sure all phone numbers include the correct country code for SMS delivery.

  • Make sure you do not add the leading zero of any mobile number added.

  • If alerts aren’t received, check your spam folder or SMS delivery settings.

Please note - Arrival Alerts is only available with a Starter or Professional subscription.
