Creating a Check-In Event, Test Invite, and Barcoded Invite (with QR Code)

1. Create an Event

  1. Click the blue Create event button.

  2. Enter an Event Name, Start Time, and End Time.

  3. Go to Guest > Create Guest.

  4. Enter your full name and a guest tag, then click OK.

You must have at least one guest before you can access the Invite area.

You can optionally add other attributes including prefix, middle name (Other name), email, Tags, and guest notes. These details can appear as personalised inserts in your e-invite.

After adding or editing details, click Save to store the guest profile information.


2. Create an Event E-Invite

  1. Return to your event by clicking its name near the top of the screen.

  2. Select the Invite button to open the default invite template.

  3. Customise your invite using the available fields:

    • Header Image and Rich Text Editor for content.

    • Invite Name, Sender ID, and Reply-To Email Address.

    • Guest Personalized Inserts (e.g., guest name, notes).

  4. Preview your invite on the right-hand side.

  5. Scroll down and select Save and continue.


3. Send a Test E-Invite

  1. On the Pre-Send screen, choose PDF or HTML format.

  2. Enter your own email address in the Test Invite field.

  3. Select Send test to receive a test invite in your inbox.


4. Scan the Test Invite

Your test invite arrives as a PDF attachment or in HTML format, complete with a unique QR code. Open it on a separate device or print it out to test scanning.


5. Set Up the App and Scan

  1. Download Qflow for Events Check-In from the App Store or Google Play Store.

  2. Open the app and swipe through the onboarding slides.

  3. Select I have an account already.

  4. Enter your email and password to sign in.

  5. Tap your test event from the event list to download it.

  6. Press the blue Tap to Scan button on the Scan screen.

  7. Hover your device's camera over the QR code on the test invite. A successful scan confirms the invite code.

  8. Scan the code again to see how the app handles already-scanned tickets.
