A quick overview: create a check-in event and how to add / import guest data including the correct group ID tags.

Creating a Check-In Event

  1. Log in to your Qflow web dashboard
    Visit qflowhub.io and sign in with your credentials.

  2. Select “Create event”
    Click the blue Create event button.

  3. Enter event details
    Give your event a name and specify a start and end time. When finished, click the blue Create button.

  4. Set up your event page
    You’ll be taken to the event’s main page, where you can begin adding guests and (optionally) manage your check-in team.

Adding Guests

Adding a Single Guest

  1. Go to Guest > Create Guest.

  2. In the pop-up, enter your guest’s Full Name.

  3. Add a Guest Type (e.g., Guest List, VIP, Staff, Press).

  4. Click Create Guest to finish.

Your new guest will be added to your check-in event.

Additional Guest Attributes
Qflow lets you add extra info (email address, plus-ones, custom group tags, guest notes, etc.). Once you add more attributes, click the blue Save button to keep your changes.

Importing a List of Guests

1. Format Your Guest List File

  • File name: Ensure your Excel or CSV file has no unusual characters (e.g., *:{} 😃), or it may be rejected during import.

  • Columns and rows: Each cell should contain only one type of guest attribute. If you have multiple attributes in one cell, separate them with commas (e.g., First Name, Last Name, etc.).

  • Possible Qflow attributes: First Name, Last Name, Full Name, Email, Ticket Type, Guest Notes, etc.

    • This allows you to correctly match each column in your file to a Qflow attribute during import.

Tip: Include clear column headers (e.g., “First Name,” “Last Name,” “Email”) so you can easily map each column to the correct Qflow attribute.

2. Import Your Guest List File

  1. Log in to Qflow
    Visit qflowhub.io and sign in.

  2. Open your check-in event
    From the events list, select the event to which you want to add guests.

  3. Import your file

    • Go to Guest > Import Guests.

    • Drag and drop your Excel/CSV file into the blue cloud icon, or click inside the area to browse your computer and find the file.

  4. Match each column

    • Once uploaded, you’ll see the first column of your file displayed.

    • From the column matching dropdown above, match the file column by choose the corresponding Qflow attribute (e.g., “Email,” “Full Name,” “Ticket Type”).

    • Click Next to move on to the next column until you’ve matched them all.

  5. Finalise the import

    • Click the Import button.

    • Add a List ID Tag for this batch of guests. This allows Qflow to send invitations or emails to specific segments of your guest list.

    • Click Import again to confirm.
