Getting Started: Check-In & Check-Out with the Qflow App
Qflow offers several ways to check guests in and out of your event, from manual name search to barcode scanning and self-service kiosks.
Manual Name Search
Use the guest list to find and check in guests by name.
Tap the Guest List icon in the app's footer.
Tap the search bar and type the guest's first name, last name, or initials.
Tap the correct name when it appears in the results.
Tap the Check In button on the guest's profile.
Guest Profile Options
Tags - view existing tags under the Tags section. Tap Manage tags to add or remove tags.
Plus-ones - use the + or – icons to adjust the number of unnamed plus-one guests.
Guest notes - tap Edit guest notes to update the text field.
Undo a check-in - clear a guest's check-in or check-out from the web dashboard or the guest's profile in the app.
Barcode Scanning
Use the in-app camera scanner to validate barcoded tickets and invitations.
Tap the Scan icon in the app's footer.
Tap the Tap to Scan button to activate the camera.
Position your device's camera over the barcode or QR code.
The app will automatically detect and process the code.
Scan Results
Successful scan - you'll hear a beep and see a checkmark. The guest's name, check-in timestamp, and tags are displayed.
Unrecognised barcode - a No match found alert appears with a negative buzz. The barcode is not in your imported guest list.
Duplicate scan - an already checked in alert appears with the timestamp of the original check-in.
Continuous Scan Mode
Set up your device in a stand or cradle and allow guests to pass their tickets in front of the scanner. You can also scan tickets on behalf of each guest without touching the device.
Open Settings in the Qflow check-in app.
Enable Continuous Scan.
Return to the Scan screen and tap Tap to Scan.
Barcodes will now be scanned automatically as they pass in front of the camera.
Note: To use continuous scan with the front-facing camera, also enable Front Facing Camera in Settings.
Self Check-In (Front-Facing Camera)
Allow guests to scan their own tickets using Qflow's self check-in mode with no staff interaction required.
Open Settings in the Qflow check-in app.
Disable Continuous Scan.
Enable Front Facing Camera.
Return to the Scan screen and tap Tap to Scan.
Guests place their ticket barcode within the camera frame and wait for the scan to complete.
Scan Results
Successful scan - a green checkmark appears and a success beep sounds. The guest is cleared to enter.
Unsuccessful scan - a red X appears and an error buzz sounds. The guest should seek staff assistance.
Check-Out Mode
You can check out guests using any of the scanning methods above by enabling Checkout in Settings.
Checked out - the guest is marked as no longer at the event.
Re-check-in - guests can be checked in again at any time. This overwrites the original check-in timestamp.
History - all entry and exit actions are recorded in the guest's history log.
Important: At entry points where you only want to check guests in, make sure Checkout is turned off so your device remains in standard check-in mode.
Troubleshooting Scans
If a barcode won't scan, check for these common issues:
Damaged mobile phone screens
Low screen brightness (below 50%)
Damaged or poorly printed paper tickets
Barcodes not imported for the event
Recommended On-Site Setup
Use the latest iOS or Android smartphones or tablets for optimal scanning performance.
Use desktop stands or kiosk-style floor stands to securely hold devices for self-scan check-in.
Logging Out of Self Check-In
Tap the Staff button in the top-right corner of the self check-in screen.
Enter your PIN when prompted.
Tap Log Out.
