Qflow Tags: Definition, Purpose, and How They Operate

Tags and tagging offer a powerful way to gain deeper attendee insights and manage entrance control more effectively.

What Tags Are for in Qflow

  1. Group ID Tags (Guest Tags)

    • Tags are labels you can assign to guests (e.g., “VIP,” “Press,” “Backstage,” “Plus-One”).

    • These help you segment and filter guest lists for reporting, stats, or communications. More information

    • You can use tags when importing guests via CSV/Excel: assign a “Group ID Tag” during import. More information

  2. Session / Scan-Point Tags

    • You can create tags for “sessions” or “scan points” in your event.

    • These let you track which session or zone a guest is scanning into, e.g., for breakout rooms or different event areas. More information

    • During check-in, your scanner app can apply these tags when scanning guest barcodes. More information


How to Apply Tags During Check-In

  • In the check-in app, go to Settings → “Add tags when guests are scanned”. From there, you choose which tag(s) to auto-apply to every scanned guest.

  • Once set, whenever a barcode is scanned, the selected tag(s) are automatically added to that guest’s profile. More information


How Tags Are Used Operationally

  • Filtering in the App: On the check-in app, you can filter the guest list by tags, so staff only see the relevant subset (e.g., only “VIP” guests or only people for a specific session). More information

  • Statistics & Reporting: Because tags segment your guests, you can generate stats or reports based on those groups (how many VIPs checked in, which session saw the most guests, etc.)

  • Invites / Communications: When sending invites or follow-up communications, you can target specific tagged groups to tailor messages (e.g., backstage pass holders). More information


Advanced Tagging Options (Tag Trees)

What Is Tag Tree / Hierarchical Tagging in Qflow

  • Tag Trees let you build group ID tags in a hierarchical (parent‑child) structure, e.g. T‑shirts → Colour → Size.

  • Useful for organising items or guest segments with multiple attributes (e.g., sold merchandise, product variations, guest categories). More information

Why It’s Useful / When to Use It

  • Granular segmentation: Nested tags let you precisely categorize guests or items - not just broad categories but more specific sub-groups.

  • Reporting and filtering: Helps you filter guests or products by detailed dimensions (e.g., all guests who selected “T‑shirt → Blue → M”).

  • Flexibility: Because it’s hierarchical, you can expand as needed (add more sub-categories later).
