Qflow Tags: Definition, Purpose, and How They Operate

Tags and tagging offer a powerful way to gain deeper attendee insights and manage entrance control more effectively.

What Tags Are for in Qflow

Qflow uses two types of tags to organise guests and track activity at your events.

Group ID Tags (Guest Tags)

  • Labels for guests - Assign tags such as "VIP," "Press," "Backstage," or "Plus-One" to segment and filter your guest lists for reporting, stats, or communications. More information

  • CSV/Excel import - Assign Group ID Tags to guests during import. More information

Session / Scan-Point Tags

  • Track locations and sessions - Create tags for sessions or scan points to track which zone or breakout room a guest scans into. More information

  • Auto-apply on check-in - Use the Tag on check-in setting in the check-in app to apply selected tags automatically when guests are checked in. More information


How to Apply Tags During Check-In

  1. Open the Settings tab in the check-in app.

  2. Tap Tag on check-in.

  3. Toggle on the tags you want applied automatically to every guest at check-in.

Once set, the selected tags are automatically added to each guest's profile on every check-in. More information


How Tags Are Used Operationally

  • Filtering in the app - Filter the guest list by tags so staff only see the relevant subset (e.g., only "VIP" guests or only a specific session). More information

  • Statistics and reporting - Generate stats and reports based on tagged groups, such as how many VIPs checked in or which session had the most guests.

  • Invites and communications - Target specific tagged groups when sending invites or follow-up messages. More information


Advanced Tagging Options (Tag Trees)

Tag Trees let you build Group ID Tags in a hierarchical (parent-child) structure, e.g. T-shirts > Colour > Size. More information

When to Use Tag Trees

  • Granular segmentation - Categorise guests or items beyond broad categories into specific sub-groups.

  • Reporting and filtering - Filter by detailed dimensions, such as all guests who selected "T-shirt > Blue > M."

  • Flexibility - Expand the hierarchy by adding more sub-categories at any time.
