Creating a Check-In Event
Log in to your Qflow web dashboard at qflowhub.io.
Click the blue Create event button.
Enter an event name and specify a start and end time.
Click the blue Create button.
You are taken to the event's main page, where you can add guests and manage your check-in team.
Adding Guests
Adding a Single Guest
Go to Guest > Create Guest.
Enter the guest's Full Name in the pop-up.
Add a Guest Type (e.g., Guest List, VIP, Staff, Press).
Click Create Guest to save.
The guest is added to your check-in event. You can also add extra attributes such as email address, plus ones, group tags, and guest notes. After editing, click the blue Save button to keep your changes.
Importing a List of Guests
1. Format Your Guest List File
Prepare your spreadsheet before importing.
File name - Make sure your Excel or CSV file name has no unusual characters (e.g.,
*:{}), or it may be rejected during import.Columns and rows - Each cell should contain only one type of guest attribute. If you have multiple attributes in one cell, separate them with commas.
Qflow attributes - Available attributes include First Name, Last Name, Full Name, Email, Ticket Type, and Guest Notes. Each column in your file maps to one Qflow attribute during import.
Include clear column headers (e.g., "First Name", "Last Name", "Email") so you can easily map each column to the correct Qflow attribute.
2. Import Your Guest List File
Log in to Qflow at qflowhub.io.
Open the event you want to add guests to from the events list.
Go to Guest > Import Guests.
Drag and drop your Excel or CSV file into the blue cloud icon, or click inside the area to browse your computer.
Match each file column to the corresponding Qflow attribute using the dropdown (e.g., "Email", "Full Name", "Ticket Type"). Click Next to move to the next column until all columns are matched.
Click the Import button.
Add a List ID Tag for this batch of guests. This lets you send invitations or emails to specific segments of your guest list.
Click Import again to confirm.
