A guide to managing event check in from your web dashboard event page.

Event checkin can be managed from the web dashboard event page (a box office scenario). Here's a breakdown of functionality:

Guest creation

To create a single guest:

  1. Select the "Add Guests" button, then click "Create Guest."

  2. In the pop-up, enter the guest's name in the designated field and click "Add Guest."

  3. The user is automatically taken to a created guest profile.

  4. Within the guest profile there are options to add/amend any required guest attributes such as a Name prefix, first name, other name (middle name), last name, email, Group ID's Tags, guest specific notes (Guest notes) and Plus 1 guests.

Important: Attributes, along with guest names, can be added as Personalised inserts when creating an e-Invite.

Please note - Once the guest profile has been updated: Select the blue "Save" button to save and complete the process.


Updating a guest

To add or amend guest information:

  1. Type the guest's name, initials, guest notes, or barcode into the guest search field.

  2. As you type, refined search results will appear.

  3. Once you find the desired guest, click their name to access the guest profile.

  4. Update guest attributes within the profile.

Please note - Once the guest profile has been updated: Select the blue Save button to save and complete the process.


E-invites

To send an e-invite to a guest:

  1. Search for the guest.

  2. Click their name to access the profile.

  3. Navigate to the "Invites" sub-tab.

  4. Choose the appropriate invite from the dropdown menu.

  5. Use the "Preview/Print" or "Send Invitation" button options

    a. Preview / Print button - This option allows the user to download a PDF version of the Invite.

    b. Send Invitation button - This option allows the user to send a copy of the selected e-invite directly to the guest.

Please note - There is an Invite delivery section included which lists sent invites and their delivery status. You also have the option to resend an Invite via the "Resend" button situated on the right hand side of each sent Invite.

Managing Your Check-in Team

To create and assign your on-site check-in team:

  1. Access the "Team" page by selecting the "Team" button.

  2. Click "Assign a Check-in Team Member & Admins" and enter the team member's name and email.

  3. Click "Assign a check-in team member" to complete the process.

  4. Enter the Team member name in the name field.

  5. Enter in the Team member email address into the email field.

  6. Select the blue Assign button to complete the process.

Your Team member will receive an email including their Qflow checkin app login details. The username will be their email address and their password will be a 7 digit number.

Please note - Team member logins only allow access to the assigned event via the Qflow check in app. They do not give the team member access to the web dashboard event.

Event Tallies

Tallies are figure based lists that are easily created and are used to keep a note of the quantity of a redeemable item or service such as free drinks tokens, walk up sales or merchandise redemption.

To create and manage tallies:

  1. Access the "Tallies" page.

  2. Add a tally list name and click "Create Tally."

  3. Use the (+) and (-) buttons to adjust tallies.

  4. To delete a tally, click the red "Delete" button.

Please note - All created tallies for an event are available to use on the Qflow check-in app via the Tallies text link in the header on the Guest list tab page.

Checking in and out a Guest

To check-in or out a guest from their profile:

  1. Search for the guest.

  2. Click their name to access the profile.

  3. Use the "Check In" or "Check Out" button.

  4. Check in a guest by selecting the "Check in" button. The guest will be checked in and will have a check in timestamp displayed below their name. The check in button will also update and display as a "Check out" button.

  5. Check out a guest by selecting the "Check out" button. The guest will be checked out and will have a checked out timestamp displayed below their name. The check out button will also update and display as a "Check in" button.


Blocking a Guest

To block a guest from attending an event:

  1. Enter the guest's profile.

  2. Click "Block Guest" and provide a reason (this will appear on the app when the guest attempts to check-in).

  3. Click "Block Guest" to confirm.

  4. The guest is now blocked and will appear with a No entry icon next to their name with an "Unblock" button option.

  5. To unblock the guest select the "Unblock" button followed by the "Unblock" button displayed in the pop up.


Deleting a Guest

To delete a guest:

  1. Search for the guest.

  2. Click their name to access the profile.

  3. Scroll down and select "Delete Guest."

  4. Type the guest's name and confirm deletion.


Clearing a Guest

To erase a guest's attendance:

  1. Select the "Clear Guest" button: This will reset a guest's status (unchecking the guest and omitting them from the attendance figure).


Create Tags

To add a group ID tag to your event:

  1. Click the "More" button (far right) and "Create Tag."

  2. Enter the tag name and click "OK."

  3. Your new Tag will now become available to be used on your event including the event on the Qflow checkin app.

Delete Tags

To permanently delete unwanted tags:

  1. Click the "More" button and then "Delete Tag."

  2. Click the red "Delete" button next to the tag you want to remove.

Please note - Tag that are assigned to your guests: If a Tag is associated to 1 or more guests you will first need to delete the Tag from the guest(s): Either via a guest profile or by deleting the bulk import list which has the Tag associated.
